Position: Office Manager
Our client based in London (SW) is looking to add an Office Manager to their team!
5+ years’ experience as an Office Manager in a studio with 70+ employees, the design luxury industry experience is a must.
Day to Day Responsibilities
Office & Facilities
Responsible for all office facilities contracts, contractor relationships and budgets including IT, internet, telephony, printers, colour management, cleaning and building maintenance providers.
In liaising with the above providers, ensuring that all issues are logged correctly and resolved swiftly and satisfactorily
Ensure that the studio is kept in pristine conditions at all times
Responsible for the ordering of general office supplies including stationery and kitchen supplies
Responsible for the H&S policy and procedures of the studio including the weekly testing of fire alarm
Responsible for the office equipment and where appropriate, the relevant loan procedures for example, mobile phones, IPads and cameras etc
Managing seating arrangement, hot-desking and office moves as required
Responsible for setting up new starters in terms of IT, desk and office inductions
Assisting the design team with external, internal printing and production of presentation materials
Managing studio events including weekly Friday morning workshops
Front of House
To maintain the FOH operatives and provide reception cover as required including lunchtimes, annual leave and sickness
Provide overflow reception cover for incoming phone calls
Assist with the setting up and clearing of meeting rooms including refreshments and catering
Experience, Skills and Qualifications
Proven experience in a similar role within a creative environment
High degree of IT literacy
Listening and interpreting instructions correctly
Experience in managing budget
Interpersonal.. building strong, effective working relationships both internal and external
